Send documents for approval manually or with automatic rules

What Are Approval Flows?

Approval flows let you require sign-off on documents before they are considered final. You can send any document for approval manually, or set up rules that automatically route documents for approval — for example, every invoice above a certain amount.

Manual Approval

Open any document and click Send for Approval. Choose who should approve it: a specific workspace member, or the entire workspace (anyone with Editor or Admin role can then approve).

The approver receives a notification. They can review the document and approve or reject it with an optional comment.

Rule-Based Approval

Go to Settings > Approval Rules and create a rule. Rules can match documents by amount threshold, tags, or document type.

  • All invoices with an amount above 10,000 CZK require manager approval.
  • All documents tagged Contract need review before archiving.

When a document matches a rule, it is automatically routed for approval after upload. No manual action needed.

Approvers

Specific person

Choose a workspace member by name. Only that person can approve the document.

Entire workspace

Any workspace member with Editor or Admin role can approve. Useful when multiple people share responsibility.

Setting Up Approval Flows

No IT team or technical knowledge needed. Open Settings > Approval Rules, click New Rule, choose the conditions and the approver, and save. The rule takes effect immediately.

Each rule has an on/off toggle so you can pause it temporarily without deleting it.
